It's a question that is asked almost instantly upon introducing myself as a wedding and events planner: Is a planner really necessary? There are many stereotypes affiliated with wedding planners; mainly that their purpose is relatively extra and unnecessary but, today I'd like to challenge this narrative. The initial thought may be that this is an additional cost to my wedding day or event - what is the true value? After all, a gorgeous wedding can be hosted just fine without a planner but, hiring a planner is ultimately about the journey you wish to take leading up to your special day. Wedding and event planners are not for everyone but, if you want your experience to be organized with a lot less stress or pressure while leveraging the knowledge of the events industry, a planner may be a wise investment saving you time and money while also allowing you to enjoy this milestone.
Time Is Of The Essence
Where do you begin with wedding planning? Today many couples are balancing an array of professional and social obligations. When beginning to plan your wedding day it can become overwhelming to process and coordinate all the details as you begin to break down all the vendors and steps involved. Often times the vision that lives in our minds requires endless hours of sourcing, planning and negotiating. Hiring a planner can alleviate the added stress of planning and have you focus on the fun aspect of planning. Additionally, planners have access to a network of professionals that could be recommended to bring your vision to life and can confidently negotiate on your behalf to ensure you are building the right team of vendors. How can you know better if you haven't experienced this before? With a planner by your side you will know better and you'll be able to leverage industry knowledge and make educated decisions for your special day based on what is a priority for you.
A Wedding Planner is on YOUR Team
A common misconception is that an on-site event coordinator is the same as a wedding planner or wedding coordinator. While both are event industry professionals, a wedding planners' purpose is to ensure and manage all the details of the wedding day go as planned while the on-site coordinator ensures that your venue delivers on its promises and services for that day as per your contract. You may meet with various on-site coordinators and this is because their hours are determined by your chosen venue; this means you may have reviewed all your final details with someone different than the individual there on your wedding day and sometimes, more than one on-site coordinator can be working on a wedding simply because of the way their work day was structured. Wedding planners, on the other hand, are involved much earlier than on the day of your wedding; they can assist with developing your concept, managing your budget, sourcing vendors, develop timelines and much much more. On the day of your wedding, your wedding planner is there to work with all your vendors (on-site coordinator, florists, photographer, furniture rental, entertainment etc.) and keep everyone on track. The key to remember is that your wedding planner represents YOU to your vendors and is ultimately on YOUR team.
Thinking Fast & Effectively: Hiccups
My commitment to you is to try and plan for all those unforeseen moments that occur so you can enjoy your day celebrating and cherishing these moments with your family and friends. Everything on your wedding day is time sensitive. The truth is, that your wedding day will have many dynamics happening simultaneously from vendor coordination to timeline management, not to mention the heightened emotions and, almost always, something will not go to plan. These small hiccups can often seem huge in that moment because you've spent months planning and the last thing you want is for something not to go as planned; when a wedding planner isn't available these stresses will fall on your friends, family and you. Family may run late, there may be traffic, something might be spilt and it's all part of the beautiful chaos of a wedding day but without some help these hiccups are overwhelming - they don't need to be. A wedding planner is there to help you enjoy your milestone which means being prepared with an emergency kit in case you need some extra thread for a tear, a touch up of lipstick, perfume or whatever else you may need. A wedding planner is able to think quickly and diffuse those wedding day hiccups because they've been through it before and can, to some extent, plan for the unexpected so all you have to do is smile and enjoy.
Lastly, Crisis Management
Now more than ever crisis management seems to be top-of-mind and also the battle many 2020 couples have had to confront. Sometimes the unthinkable can happen and it heightens a couples amount of stress while trying to deal with a crisis. A crisis could include sickness, travel arrangements, the sudden passing of family and many other scenarios that impact whether a wedding can go on. We are currently living through a global pandemic that has impacted almost every economic sector, and which has taken a hard hit for the events and hospitality industries. In these moments of uncertainty and panic a wedding planner will be able to assist you in navigating a crisis by working closely with you and your vendors to make alternate arrangements. As mentioned earlier, a wedding planner is on your team and can provide the clarity, knowledge and network to assist you.
